Ava will pop up information relevant to employees, locations,
departments or shifts when the cell with their name is hovered
over
Ad hoc Notes fall into two categories:
Notes that are a record of an event or events: "Spoke with dept
manager to arrange X", etc.
Notes that are "permanent": "Brigit now in charge",
"administer pills xyz and or treatment", "Boggs pin Number
12345"
The notes that record events should NOT be pinned using the "Pin" button on the record card.
The notes that refer to status quo, such as "Brigit now in charge"
and relate to the customer or department should be "pinned" using
the "Pin" button on the record card.
In addition there are two extra ways information can be made to
"pop up":
There can often be a requirement to quote security information
to a customer: e.g. PIN (Personal Identity Number) or DOB (Date of
birth). These lines of information can be selected from any item
recorded via setup:

Then select employees:

And then Pre-booking availability information

Check any information line needed and save.

This information will now appear when the employees name is hovered over in either booking or availability lists.

Each shift for each day for each skill can have its own specific
note.
Select the record card for the department and click on the Notes
button:

Add or just pin selected notes using the Pin button:
Notes displayed hovering over the Company / Customer name will be take from the Notes for the Company / Customer


The Department pop up works in a slighty more advanced way it displays both the notes for the department and shift specific notes:

For shift by shift notes (as may be required for a care plan) you will need supervisor privilages:
Setup shift pattern:

Select the skill to which the note will apply: (in this case a HCA)
Select the Notes tab:

Preselect the shift or shifts that the new note will apply to
and
Write the note.
If you want to write the same note for more than one shift: select mutiple shifts:
Apply to the shifts by clicking the set notes button:


This will now be included in the pop up for the department when
any shift meeting that specification is hovered over.
