How do I Provide better management information to my customers
Answer

The majority of reports for our customers' customers have been developed in line with the end customer's requests. There is (despite or perhaps because of the combined AIMS system which costs Trusts a significant percentage creamed off their budgets) a growing requirement for more detailed reporting.
This is how to configure existing departments to have a Trust's Directorate structure available for any report s requiring that information.  In addition we will also cover setting up reports at manager level of each trust.
You will need supervisor privileges to make these changes, so logged in as an Ava supervisor:
It is essential that this is read in conjunction with AIMS setup instructions, as inadvertent changes here may impact on the AIMs report values and invalidate the export.

Seps to setup Directorates or Management groups for Wards or departments

These falls into three parts:
Enabling the list of  Directorates or Management groups
Populating those groups
Allocating Wards or Departments to Directorates or Management groups

Enabling the list of Directorates or Management groups

From any record card click on the 'setup' then the 'data sections' menu.

Then select the Ward or Department entry from the list (this entry is by default the third entry and will already have 'has shift pattern' ticked:  If it isn't then you have the wrong entry!  Do NOT change either the 'has shift pattern' or 'has shift pay structure' check boxes)
Now click on the details button (Chain link symbol)

Select the 'Detail Set' tab

You should find that by default the first item is checked and labelled 'Directorate'. If it is labelled something else please check that you do not use this information somewhere. If it is not checked then check it.
You should find that by default the fifth item is un-checked and labelled 'spare list'. If it is labelled something else please check that you do not use this information somewhere. If it is not checked then check it (this will become a managerial level report as opposed to a directorate level report.

Save

Set up Trust groups for companies, locations or sites.

The first step for grouping companies or hospitals into Trusts is very similar.

Now select 'Hospital' or 'Site' and click on the details link button.

Ensure that the 6th item is checked

Populating those groups Directorates or Management groups

From any record card: Select Setup then Types

Now select Ward or department (once again it's the 3rd item down)

Now select 'Directorate' (it's the 3rd item) and at this point may be called something else, but if it is we will rename it in the following steps

We now need to create our list of directorates.
There may be items in the list already. In general, leave them.
Make sure the master tab is selected
Click on the new button (in the centre a blank sheet) and type the name of the Directorate in the yellow test box that has appeared.  The name will also appear at the bottom of the list on the right.

Warning: You are not allowed to have two names the same in the master list.
Warning: You are not allowed to have a blank entry.
If you have a blank entry then select it (it will be difficult to see since it is white on a white back ground) and use the delete button immediately below the new button to remove it.
Once you have your list, click on the selected tab
If you select the top item in your list and click the left arrow button, the items will come across in order.  If they are not in the order you want them displayed, drag and drop them into their correct place on the left hand list.

If you wish to re-title this group then enter the tile you want in each of the text boxes at the top of the window.

Now repeat this process for management groups.

Allocating Wards or Departments to Directorates or Management groups

Got to the record card for the ward or department that you want to allocate to a directorate or management group.
Either click in View then details (Alt + V), (Alt +5)

Or click on the details window button.

You will now see the details window for the Department selected. There will be a new drop down list (or two if you have also done the management groups)
Select the entries appropriately.

Populating those Trust groups

This is essentially the same process as before:
In any record card select setup then types
If required rename the three top text boxes Trust or Trusts

Add the names of Trusts that you supply.

Allocating Companies, Locations or sites to Trust groups

Got to the record card for the company, location or site that you want to allocate to a Trust
Open the details window and select the Trust name.

Oops I've created a number of wards which are really at different sites and put them under the same company location site record card.

No problem:  rename the single company card as the site with the most wards or departments.
Create a new company card with the other site name.
For each department that is incorrectly allocated to the first site, select their record card. Make sure you are on the first address tab, click the company drop down list and select the new site name.

Finally select the trust name for both company record cards.
